Preparing a logo for print means supplying the right file, using colors the printer can reproduce, checking small details at the final size, and approving a proof before production. The goal is simple: your logo should look intentional on a business card, letterhead, label, sign, or package - not soft, muddy, clipped, or unexpectedly different from the screen version.
A logo that looks fine in a browser is not automatically ready for a print shop. Screens use light to display color, while printing uses ink or toner on a physical surface. Paper stock, finishing, print method, and the logo’s final size all affect the result. Use the printer’s specifications as the final authority, but the steps below will help you send more reliable artwork.
How to Prepare Logos for Print: Start With the Right File
For most professional printing, a vector logo is generally the safest choice. Vector artwork is built from mathematical paths rather than a fixed grid of pixels, so it can scale from a small product label to a large sign without becoming blurry.
Common vector formats include PDF, EPS, AI, and SVG. However, not every printer accepts every format. Many commercial printers request a print-ready PDF, while some may ask for an EPS or native design file. SVG is useful for digital use but is not accepted by every print workflow. Ask your printer which format they prefer before exporting.
A PNG or JPG may be acceptable for a simple office print job or a small promotional item, but it has limits. Raster files are made of pixels. Enlarging a low-resolution raster logo can produce jagged edges, fuzzy text, and uneven curves. If a raster file is required, provide it at the final printed dimensions and at least 300 pixels per inch (ppi).
Do not try to solve a low-resolution logo by changing a 72 ppi file to 300 ppi in an export menu. That changes metadata, not image detail. You need the original vector artwork or a genuinely high-resolution source file.
Set the Logo at Its Actual Print Size
A logo can be technically sharp yet still fail in print because its details are too small. Before sending artwork, place the logo at the size it will appear on the finished item. Then inspect it at 100% view and, when possible, print a test on a desktop printer.
This matters most for logos with fine lines, tiny lettering, narrow gaps, textured effects, or intricate icons. A thin line that looks refined at a large size may disappear on a small business card. Likewise, a tagline may be readable on a monitor but too small to reproduce clearly on uncoated paper.
There is no single minimum size that works for every logo. The result depends on the print process, paper, ink coverage, and design. As a practical check, if you cannot read the smallest text comfortably on a physical test print, simplify the lockup or use a version without the tagline.
This is why a flexible logo system is useful. A primary horizontal logo may work well on a letterhead, while a stacked version or icon-only mark may be more suitable for labels, stickers, social merchandise, or small-format printing. These are purposeful variations, not inconsistent branding.
Convert Color Intentionally
Most screens show color in RGB, which combines red, green, and blue light. Commercial printing commonly uses CMYK, which combines cyan, magenta, yellow, and black inks. RGB can display brighter colors than standard CMYK printing can reproduce, so a direct conversion may shift vivid blues, greens, oranges, and neons.
For a standard full-color print job, use the CMYK color values requested by the printer. If your brand relies on a very specific color across multiple materials, ask whether a spot color system is appropriate. Spot colors can improve consistency in some production situations, but they may add cost and are not necessary for every project.
Paper also changes color perception. Coated stock usually makes color appear sharper and more saturated. Uncoated paper often absorbs more ink, which can make colors look softer or darker. A logo printed on a kraft label, textured card, fabric, or colored substrate may need its own test because the material becomes part of the color result.

Prepare a One-Color Version
Every business should have a clean one-color logo in black and white. It is useful for stamps, invoices, embroidery, low-cost printing, newspaper ads, engraving, and situations where full color is unavailable or unnecessary.
Avoid relying on a full-color logo that is simply converted to grayscale at the last minute. Different colors can turn into similar gray values, causing parts of the mark to lose contrast. A dedicated black version and a dedicated white reverse version give you more control.
The reverse version matters when the logo sits on a dark background. Make sure all text, symbols, and spacing remain clear. If your logo includes a very thin outlined shape, test whether it holds up when reversed or printed small.
Build the Print File Around the Logo
Your logo may be only one element in a business card, flyer, package, or sign file. The full document needs production settings too.
Bleed is extra artwork that extends beyond the trim edge, usually requested when a background color, photo, or pattern runs to the edge of the piece. The logo itself does not need bleed unless it intentionally reaches the edge. Keep the logo and other important text inside the printer’s safe area, so minor cutting variation does not crop or crowd them.
Use the finished trim size supplied by the printer, then add the requested bleed around it. Avoid placing a logo too close to folds, perforations, binding edges, holes, or curved surfaces. On packaging and apparel, a dieline or placement guide may define where the logo can safely appear.
If your logo includes editable fonts, convert the type to outlines only in the final production copy when the printer requests it. This prevents missing-font substitutions. Keep a separate editable master file with live text for future revisions.
Watch for Effects That Do Not Print Predictably
Gradients, transparency, shadows, metallic effects, and very fine patterns can look polished on screen but require more care in print. They may reproduce differently depending on the print method and substrate. A subtle shadow can disappear, while a complex gradient may show visible banding in some conditions.
If a logo uses effects, request a proof rather than assuming the file will print as shown. You may also want a simplified flat-color version for small items or lower-cost print runs. This is not a compromise in every case. It can be the more practical expression of the same identity.
Check black elements carefully as well. Small black text and thin black lines are usually best set to a single black ink value rather than a multi-ink rich black. Registration shifts between printing plates can create colored edges around small type when multiple inks are used. Rich black may be useful for large dark areas, but the correct build depends on the printer’s process.
Send a Proof-Ready Package
Before production, review the logo in context, not as an isolated file. Look at its contrast against the actual background, its distance from trim lines, and its relationship to nearby text. Confirm that the file name clearly identifies the version, such as a horizontal CMYK logo or a white reverse logo.
A short preflight check can prevent expensive reprints:
- Confirm the printer’s required file format, color mode, bleed, and final dimensions.
- Check that vector logos remain vector and raster images are 300 ppi at final size.
- Review small type, thin lines, and spacing at the final physical scale.
- Request and inspect a digital or physical proof when color accuracy or complex finishing matters.
A digital proof is useful for checking layout and spelling, but it may not accurately show final color, paper texture, foil, embossing, or fabric results. For a larger order, a physical proof or sample is generally worth considering, especially when the printed item is central to your brand presentation.
Before placing the order, print the file at home at actual size and hold it in your hand. That small step often reveals what the screen cannot: a tagline that is too tiny, an icon that needs more breathing room, or a color choice that needs a real proof before it becomes thousands of copies.
